How to automate the monotony at your agency

We all have repetitive tasks we have to do in our roles, and they suck.

Below are a few methods to what you could automate and how. It will give you time back once set up so you can concentrate on what you were hired to do.

Automation gives you so much time back

The first step is to list out what the repetitive tasks are, what tools you use to get them done. Then work out how you can remove each step to bring it down to minimum effort. Work out the inputs and then whats the output.

It’s a bit of a learning curve at first, but when you start seeing how it all works you will be attempting to automate everything.

Get familiar with IFTT, Zapier or Integromat

For beginners, I recommend looking at IFTTT — very easy to use. Look at the various tools they support, look at the prebuilt automations and try setting one up so you get familiar with it. The clue is in the name for all automation: If this happens, do that.

Some automations you can build :

Client onboarding:

  1. Create a google form, have your new clients fill in the details: Name, Email, number, Facebook business manager ID, Social Channels, Google Analytics ID
  2. Have that form submit to a google sheet
  3. Set up a trigger to create a client folder with structure (Google Drive or Dropbox), copy over document templates, content plan templates etc
  4. Once created trigger an email to the client to show them it’s all ready.

Reporting:

  1. Signup for Whatagraph or Dashthis. (Google Data Studio is great too, but involves a bit of customising)
  2. Plugin your sources of data, add your company logo
  3. Schedule the dashboard to send a report every Friday

Content

  1. Add a trigger to your company blog via IFTTT
  2. Every time you post a new blog post it sends a snippet to your newsletter software (convertkit, Mailchimp, Active Campaign) and also auto-tweets it out. Meanwhile, you are building your next newsletter in the background.

Granted the above are explained very simply, but so easy to setup.
